Facilities Coordinator

Yamaha Motor Canada Ltd. currently seeks a candidate for the position of Facilities Coordinator for our Service Department

Position Information

Summary of Responsibilities

To ensure all company facilities including buildings, properties, equipment and vehicles are maintained, repaired or replaced in a timely efficient manner. Provide support with administration and completion of building maintenance and repairs, administering the company's vehicle fleet, trailers and unit licensing. Assist with the annual preparation of the expense budget, process invoices ensuring accuracy and timely payments are made.

Key Duties & Responsibilities

  • Coordinate building safety systems and programs, including maintaining scheduling for yearly / monthly / periodic inspections / testing and necessary repairs for fire alarm system, overhead sprinklers, fire hydrants and fire extinguishers. Maintain records and complete any required reporting promptly. Include regular building safety inspections, maintaining spill cabinets and prepare and assist with annual training.
  • Administrate building fitness on an ongoing basis, Complete/co-ordinate minor repairs for buildings and fixtures; including lighting replacement, minor plumbing jobs, wall hangings, etc. Make arrangements for skilled repairs as required, making sure to monitor the cost effectiveness of all contracts and services and provide access and control of trades workers while on site. Maintain boardroom and washroom facilities to ensure they reflect our brand image.
  • Deliver responsible recycling and waste management programs that reflect best practices for office recyclables and final waste of garbage. Develop improvements and ongoing expansion plans where possible to enhance green initiatives. Oversee outside help with recycling and other small projects.
  • Maintain company fleet; include obtaining specifications for replacement, purchasing and disposal of corporate vehicles and trailers. Complete initial and annual registration of company vehicles, trailers and all units on loan as required. Assist with making appointments and movement of company vehicles to and from repair shops, maintaining all trailers and keeping booking records for corporate trucks and trailers. Provide required documentation when required for annual insurance renewal, maintain all licensing documentation for units, provide as required on sale of unit and maintain records for reporting to insurance company. Maintain all reporting and required log information for operation of vehicles under the CVOR.
  • Assist with researching and purchasing various services and/or building equipment, and speciality items. Ensure that purchasing procedures are cost effective and time efficient. Maintain purchasing controls and pricing efficiencies for all purchases. Assist with the annual preparation of the department expense budget and complete ongoing reviews and updates as they are required for any discrepancies and required revisions to the expense budget.
  • Maintain forklift operator credentials and provide required support for department and the various trades as required to ensure items are stored correctly and trades are able to complete tasks efficiently.
  • Maintain active membership on Health & safety Committee as employee representative.
  • Maintain a high level of internal customer satisfaction for all employees relating to the office environment and work stations.
  • Assist the Service Shop Technician with the pick-up and drop off of employee rentals, ensure trucks and trailers are in good working order before and after employee use.
  • Assist with the organization, maintenance and upkeep of the shed and the compound, ensure exists, fire extinguishers, electrical panels, etc. are accessible. Assist when necessary with loaned unit pick-ups when sold to dealers.
  • Assist in the maintenance and up keep of the service shop, including overhead doors, drains, lights, batteries, waste management, outdoor wash pad, etc.

Education and Experience Requirements

  • Degree/Diploma: High School Diploma
  • Years of Experience: 2+ years of experience
  • Type of Experience: Facilities Maintenance, Vehicle Maintenance

Skills & Abilities

  • Experience in building and equipment repairs
  • Clean driving record
  • Valid G license
  • Some travel may be required
  • Overtime is common and many times unexpected, mostly for building related repairs and maintenance.
